Terms & Conditions

 

Please read the following information carefully, as the terms and conditions described herein constitute an agreement between you and those who provide the service. If you decide to book with Alpine 4x4 Charter Ltd., dba Vancouver All-Terrain Adventures, herein referred to as VATA, and make payment on a transfer, tour, or transportation program, you thereby agree to accept the terms and conditions of this contract.


Rates & Commission

VATA rates are quoted at the retail rate in Canadian dollars and are subject to 12% HST tax. A 10% commission is offered to concierge and travel agents unless otherwise negotiated. Commission will not be paid on surcharges or fees. Commissions are paid monthly. VATA reserves the right to correct an error in any advertised price prior to your departure.

 

Gratuities

A 15% gratuity is not included in VATA standard transportation rates unless requested. Should you choose to provide a gratuity to someone who has provided you with exceptional service please do so.


A 15% gratuity is included in private tour & adventure prices!


Payment Policy

Full Payment is required at the time of booking and may be paid by MasterCard, VISA or AMEX.


Cancellation Policy

Transportation: 4 hour cancellation policy. 100% payment for cancellations made within 4 hours.

Tours: 24 hour cancellation policy. 100% payment for cancellations made within 24 hours.

 

Fuel Surcharge

A 4% fuel surcharge will be added if fuel prices exceed $1.25/litre for more than 2 weeks. An additional 4% surcharge is added for every .20/litre increase if sustained for more than 2 weeks, thereafter.

 

Airport Fees/Pick-up Drop Charges
Add $6.75 for Airport Parking Fee for pick-ups at YVR; $20 for Mini Bus. Add $10.00 USD for Airport Parking Fee for pick-ups at Sea-Tac. Additional charges will be applied for delays, waiting time or extra stops.

 

Victoria Services
The additional vehicle and per person fare will be the responsibilty of the passenger. Please visit BC Ferries website for fare details. 


Possible Alterations

VATA reserves the right to cancel any services when necessary or advisable without incurring any liability. Should this occur, VATA agrees to provide the best alternative available. While VATA will endeavor to conduct the tour as indicated in the brochure, all tours are subject to change without notice.

 

All tours are semi-private. All VATA conducted portions of each tour will have a private driver guide and vehicle. Third party attraction tours where included will be public; however, private tours can be arranged in some instances with advanced notice.

 

Tour Vehicle Capacity & Selection

A maximum of 8 passengers per vehicle is allowed; 9 or more passengers must hire additional vehicles. The types of vehicle assigned will depend on the number of passengers. Types of vehicles include: sedans, hyrbid SUVs, Suburban SUVs and executive vans.

 

Languages

VATA services conducting in English; however, other languages may be available upon request.


Refund Policy

VATA reserves the right to cancel all or part of a service in its reasonable discretion. If VATA cancels the entire service, you will receive a full refund. If a supplier for VATA cancels a portion of a tour due to weather or other reasons beyond the control of VATA only that portion of the tour cost will be refundable, subject to the supplier’s cancellation policy. If a participant decides, for any reason whatsoever, not to participate in all or part of the tour, VATA will not be required to make any refunds. For other partial cancellations by VATA or its suppliers, you will receive a refund for the value of the cancelled portion, with value to be determined by VATA in a fair and equitable manner. Refunds will be processed on the original form of payment.


Special Requirements

We seek, to the extent feasible, to accommodate the needs of participants with disabilities. Although VATA endeavors to make sure that other persons or companies providing services or portions of the tour or program satisfy their obligations under applicable law, VATA cannot guarantee that all of those services or portions will be fully accessible to those participants with disabilities. It is essential that we be notified of any special medical, physical or other requirements at the time of booking.


Supplier Liability

VATA takes no responsibility for services provided by a third party, such as attractions.


Company Liability

VATA and their respective officers, directors, servants and agents are not responsible for any claim, loss, damage, cost liability or expense arising, direct or indirect, out of injury; accident or death; loss, damage or delay of luggage or other property; or delay, inconvenience, loss of enjoyment, upset, disappointment, distress or frustration, whether physical, mental or otherwise, relating to the provision of attractions, travel services and accommodations. This includes, but is not limited to:

  • mechanical breakdowns, fire, theft, civil disturbances, strikes, government actions, weather and other factors and causes beyond its control;

  • failure to obtain required documentation, including but without limitation to passports and visas;

  • failure to follow instructions of VATA or its representatives;

  • missed flight or bus connections; or

  • any other cause beyond the control of VATA.

Force Majeure

VATA will not be responsible for the performance of this agreement if prevented or delayed by acts of God, strikes, accidents, weather, traffic, airport conditions or other causes beyond their reasonable control from meeting its terms. VATA is not liable for any expenses arising as a result of exercising this right.


Passport/Visa/Health Regulations (including the USA)

Passports: If travelling from outside Canada (including from the U.S.A.) you will require a passport for entry into Canada and appropriate Identification (ID) for all family members.


Airlines and Cruise Ships reserve the right to refuse boarding without adequate ID.


Visas: VATA is not responsible for passengers refused entry into Canada because of inadequate documentation. For further information regarding documentation for entry into Canada, please contact Immigration Canada. Single parents or grandparents travelling with children must ensure proper documentation is obtained for entry into Canada.


Baggage & Valuables Policy

Two pieces of stored luggage per person are allowed on transfers. Additional luggage requirements should be identified at the time of the booking so appropriate arrangements can be made.  During your travel, you should not leave money, jewelry or other valuables left lying in hotels, on buses, or elsewhere.  VATA does not assume any responsibility for loss of or damage to perishable items, medicine, liquor, cash, gold, silver, jewelry, film, videotape, video equipment, binoculars, computers, computer equipment, cameras, or similar valuables, securities, financial instruments, or other valuable documents. VATA is also not responsible for any carry-on baggage left unattended in vehicles or on other modes of transportation or in hotels.
